Accounting Manager & Systems

Bring order to a growing finance team

As a business grows, its financial work spreads across more people: in-house staff handling billing and payables, a payroll provider, a tax preparer, a CFO or advisor, and the systems that connect them all. Each piece may be done well, but someone has to keep it working together. BBK Accounting can fill that role, and help make sure your systems keep up as you grow.

Finance team leadership

Many growing companies look for an outsourced accounting manager because they need someone to coordinate everyone involved in their finances but aren't ready to hire one full time. BBK steps into that role, keeping the people, deadlines, and information behind your financials organized, so reports arrive on time and everyone works from the same numbers.

  • A managed month-end close, with a shared checklist, clear owners for each task, and regular close meetings
  • Data gathered from every source, with your financial reports produced on schedule
  • Support for your in-house team, including overseeing staff who handle accounting and admin tasks
  • Clean workflows and handoffs between your team, BBK, and outside providers
  • Coordination with your advisors, so your CFO, tax preparer, wealth advisor, and other consultants have the data they need
  • Process improvements over time, reducing friction in data gathering and closing the books
  • Internal controls and separation of duties, so no one person approves, pays, records, and reconciles the same transaction, kept current as your team changes

When your team is too small to split every duty, we put compensating controls in place instead, such as owner review of bank activity, dual approval on payments, and user permissions in your systems. Good controls reduce the risk of errors and fraud and make problems easier to catch.

This is a coordination and management role. It works alongside your bookkeeping, payroll, and reporting services and keeps them running together.

Systems and workflows that scale

The tools that worked when you were smaller can quietly become bottlenecks. A manual process that was fine once in a while turns into hours of work every month, data gets re-entered across systems, and reports take longer to produce. We help you spot those problems and fix them.

  • Choosing the right tools: accounting software and apps that fit where your business is headed
  • Integrations, set up by our bookkeeping and controller team, so data from payroll, point-of-sale, payments, and operations flows into your books on its own
  • Retiring manual steps that no longer scale
  • Implementation support, so a new system is set up correctly and your books stay accurate through the switch
  • Deeper automation when no ready-made integration fits, such as custom integrations or gaps between your tools, built by our automation team, led by Matt Appel, so your books stay in sync

Because we keep your books, we see firsthand where your systems create extra work, and we can recommend changes that actually reduce it.

Systems work is handled as one-time projects: we scope it, quote it, and build it. Once it's in place, your monthly package keeps it running.

Custom integrations, automation, and SOPs

Most integrations are ready-made, and our bookkeeping and controller team sets them up as part of your systems work. When an existing integration doesn't fit your process, or there isn't one at all, our automation team, led by Matt Appel, takes it from there: custom integrations, automations that fill the gaps, and documented processes your team can follow.

  • A free time audit: a working session that maps every manual handoff and puts hours and dollars against it. You keep the map either way, and a 30-minute self-guided version is available too
  • Documented processes (SOPs), so the work doesn't depend on one person
  • Workflow automation that connects the tools you already use instead of replacing them, so data is entered once and reaches your books clean

What this looks like in your industry

  • Law firms:

practice management, billing, and trust accounting kept in sync, with clear roles between office staff, the bookkeeper, and your CPA

  • Construction and trades:

field time, job costing, and progress billing connected, so project managers and the office work from the same numbers

  • Restaurants and hospitality:

point-of-sale, payroll, and delivery apps tied together across locations, with controls on cash and tips

  • Nonprofits:

approval workflows and separation of duties your board and funders expect, even with a small staff

  • E-commerce and SaaS:

storefront, payment processor, and subscription data flowing into your books without manual exports

How it works

  1. Map how things work today. We learn who does what, which systems you use, and where work gets stuck.

  2. Set up the structure. We build the close checklist, assign owners and deadlines, and recommend system changes.

  3. Run it every month. We manage the close, coordinate with your team and advisors, and keep improving the process.

Frequently asked questions

Is an accounting manager the same as a controller?

Not exactly. This role focuses on coordination: keeping your people, deadlines, systems, and advisors working together so your financials get done right and on time. Higher-level reporting and analysis are covered on our Financial Reporting & Accrual Accounting page.

Do you replace my in-house staff?

No. We support and oversee the people you have and fill the gaps between them.

Can you help protect us from errors and fraud?

Yes. We design your internal controls as a one-time project, including separation of duties, approval workflows, and system permissions, then keep them current as part of your monthly accounting manager role. Controls reduce risk and make problems easier to catch, but they aren't an audit. If your controls need to be independently tested, that's done by a CPA firm that you hire, and we work alongside them.

Will you work with my CFO and tax preparer?

Yes. Coordinating with your outside advisors is a core part of the role.

What software do you work with?

We're software-agnostic and work across all the major accounting platforms, plus the payroll, payment, point-of-sale, and operations tools that feed them.

How much does it cost?

It depends on your team and the scope of work. The accounting manager role starts at $500 per month and is always part of a monthly package with your bookkeeping. Systems projects are one-time and start at $150 per hour. We'll give you a quote after a short call.
